| Most calls are of users getting out
of space messages in their Inbox, despite already emptying out
their Sent Items and Deleted Items icons. Below shows you how to create
folders to store emails you want to keep without having to permanently
deleting them AND creating more space in your Inbox. Page down to see

| Begin by opening Outlook and scrolling down to the folder called ARCHIVE FOLDERS. Right-click on the folder and choose NEW FOLDER like below. Page down to next illustration. |

| Next, it is time to name
your new folder. For example, I am going to store all my computer
purchase emails into my new folder called Stored Files. Please name your
folder anything you'd like that helps keep you organized.
Below the Name: box is a place to "SELECT where to place the folder." Please choose the ARCHIVE FOLDERS like below and click OK. Page down to next illustration. |

Now you should have your new folder in the Archive Folders directory like below. Please move onto the next illustration. |

Now it's time to move your emails that you would like to store. To move them, you can simply drag and drop the file into your new stored folder you've just created. To move more than one email message at a time, simply click the top email message and scroll to the bottom and hold the SHIFT KEY - now all your emails are highlighted. With your emailed highlighted drag them down into your new folder. All emails will be moved and free up space on your email account. |

You'll know it was done right when you can go back into your original email under the Inbox and messages you just moved are longer there. You new messages will be in new folder you created. Please page down for one final note. |

Please understand that once your emails are moved into your new folder that they will no longer be on the Mail Server. They will be downloaded into that specific workstation or laptop. You will only be able to access those "archived" emails on that machine. If you should ever change workstation, your Systems Administrator will need to help you with making sure your archived emails go with you, thanks. |
